How Does Subscription Management Software Work?
How Does Subscription Management Software Work?
Subscription management software sits between your customer-facing storefront and your payment provider — orchestrating everything that happens once a customer subscribes.
The basic flow
- Customer subscribes through your storefront → order flows into the subscription management platform
- Platform creates a subscription contract with billing schedule, product assignment, and term details
- Recurring billing runs automatically on schedule via the connected PSP — recurring billing
- Failed payments trigger dunning workflows — automated retries and customer notifications
- Subscription events (upgrades, pauses, cancellations) are processed through the platform
- At subscription end, return workflow is triggered and asset status is updated
For physical product subscriptions
When a physical product is involved, the platform also connects to warehouse and logistics operations. When a subscription is created, a specific asset (identified by serial number) is assigned to the subscriber record. When the subscription ends, the platform triggers a return shipment, records condition on receipt, and routes the asset to refurbishment before reassigning it to the next subscriber.
circuly integrates directly with shop systems (Shopify, WooCommerce, custom) and payment providers (Stripe, Mollie, Adyen, Braintree) via API.
